Find an administrator for your virtual team. From day one, start looking at the tasks that you are doing from a minute-to-minute basis and be tough with yourself and challenge yourself. What are the things that I’m spending time on that I could have someone else do? If there’s something that’s repeatable, that is a defined process, you should have your administrator do it so you can focus on the higher value aspects of providing your professional service.

You don’t need to start, obviously, with someone full-time. Not even half-time. You can start with an executive assistant who is working for you five hours a week, remotely. And some people use that person to do travel arrangements. Some people to arrange calls, some people to do billing, some people to do some research, some people to manage CRM system. For you, the tasks that you outsource may be different. I recommend listening to Episode 40 of Unleashed, where I interviewed Karen McGrath. She’s been an executive assistant and now she runs a firm that staffs executive assistants and she talks about the types of things that you could consider offloading off your plate. How to find an executive assistant and how to work effectively with one.

So find an administrator for your virtual team.
