Using the Meeting Engagement Type

Using the Meeting Engagement Type

HubSpot’s “Meeting” engagement type helps you track and document both scheduled and completed meetings with your contacts. As an independent consultant, this is invaluable for keeping records of when and why you met with clients or prospects, ensuring no opportunities or details are missed. In this chapter, we’ll cover the benefits of using the Meeting engagement type, how to schedule and log meetings, and best practices for leveraging these records in your consulting business.

1. Why Use the Meeting Engagement Type?

  • Centralized Meeting Records: Every scheduled or completed meeting is logged on the contact’s timeline, making it easy to review past interactions and plan future follow-ups.
  • Improved Organization: Rather than juggling multiple calendars or email threads, you have a single repository in HubSpot where you can see all upcoming or past meetings, notes, and outcomes.
  • Enhanced Collaboration: If you work with an assistant or a small team, sharing meeting details in HubSpot ensures everyone is aligned on client touchpoints, agendas, and next steps.
  • Streamlined Follow-Up: Meeting records can prompt you to create tasks or enroll contacts in specific workflows once a meeting is done (e.g., sending a proposal or scheduling a follow-up call).

2. Scheduling a Meeting in HubSpot

Using the Meetings Tool

HubSpot’s Meetings tool (available in Sales Hub or in the free CRM, though features may vary by tier) lets you create a personal meeting link that syncs with your calendar (Google or Outlook):

  1. Connect Your Calendar
    • Go to Settings in HubSpot, then General > Calendar to integrate your Google or Outlook calendar.
    • Ensure you grant HubSpot permission to manage and view events on your calendar.
  2. Create a Meetings Link
    • In HubSpot, navigate to Sales > Meetings (or “Meetings” under your profile menu).
    • Follow the prompts to create a personalized link where contacts can book time with you based on your availability.
  3. Share the Link
    • Send this link to clients or prospects via email, add it to your email signature, or embed it on your website.
    • When someone books a slot, HubSpot automatically creates a Meeting engagement on the contact’s record (or creates a new contact if they’re not already in your database).

Manually Scheduling a Meeting

If you’d rather schedule the meeting yourself (or you’re using a free version without the Meetings tool):

  1. Open the Contact Record
    • Go to Contacts > Contacts, select the contact you’d like to meet with.
  2. Select “Create Engagement”
    • In the timeline or via a top menu option (e.g., “Log or Create” button), choose Meeting.
  3. Enter Meeting Details
    • Include the date, time, duration, and a descriptive title (e.g., “Project Kickoff” or “Budget Review”).
    • Add any relevant notes about the agenda or goals.
  4. Save
    • The meeting is now visible in the contact’s timeline.
    • If your HubSpot is connected to your personal calendar, the meeting can also sync there (depending on your plan and settings).

3. Logging a Completed Meeting

Automatic Logging (Using Meetings Tool)

  • If the meeting was booked through your HubSpot Meetings link, it will automatically appear on the contact’s timeline.
  • Once the meeting is done, you can open the record to add outcome notes, next steps, or additional context.

Manual Logging

For meetings scheduled outside HubSpot (e.g., you used a separate calendar or scheduled verbally):

  • Click “Log” in the Contact Record. Select Meeting in the dropdown.
  • Fill in Details. Date, time, participants, notes, and outcomes (e.g., “Discussed scope of new project, next call scheduled for next week”).
  • Save. The meeting is recorded on the timeline. Add any tasks or follow-up steps as needed.

4. Attaching Notes and Documents to Meetings

  • Add Agenda or Summary. In the meeting record, you can type key talking points, decisions made, or items for follow-up.
  • Attach Supporting Files. If you have a proposal or slides relevant to this meeting, attach it directly (via the paperclip icon or “Attach File” button) so that everything is in one place for future reference.
  • Assign Tasks. If the meeting results in action items, create tasks immediately while you’re still in the meeting record. This ensures you (or your team) are notified of next steps.

5. Best Practices for Meeting Engagement

  • Use Clear, Descriptive Titles. “Marketing Strategy Session – April 2025” or “Budget & Timeline Review” helps you scan the timeline and know instantly what was discussed.
  • Keep Meeting Notes Concise. Summarize key decisions, milestones, or deliverables rather than writing a transcript. This makes it easier to refer back without wading through unnecessary details.
  • Set Reminders or Follow-Up Tasks. Whether you’re confirming the next appointment or sending post-meeting materials, turning these tasks into calendar or HubSpot tasks helps you avoid missed obligations.
  • Leverage Workflow Automation. If your HubSpot subscription includes workflow automation, you can trigger automated emails or reminders after a meeting is completed (e.g., “Thank you for meeting with me, here’s a summary of our discussion…”).
  • Update Lifecycle Stage or Lead Status. If this meeting changes your relationship with the contact (e.g., from “Lead” to “Opportunity” or from “Opportunity” to “Customer”), update their record accordingly.

6. Integrating Meetings with Your Sales or Project Pipeline

  • Linking to Deals. If a meeting is about a potential consulting contract, associate the meeting with the Deal record to keep the pipeline accurate.
  • Tracking Progress. Review how many meetings each deal stage typically requires. This can inform your forecasting and help you plan your time effectively.
  • Performance Metrics. HubSpot’s reporting tools let you see how many meetings have been booked or completed in a given period. If your close rate correlates with the number of meetings, this data becomes especially valuable for planning outreach.

7. Troubleshooting Common Issues

  • Meetings Not Syncing with Calendar. Confirm your calendar integration is active under Settings > General (or “Calendar”). Reconnect if needed.
  • Double Entries. If you’re booking the same meeting in HubSpot and your external calendar, you might end up with duplicate records. Decide on one system as the source of truth or ensure they’re properly synced.
  • Incorrect Meeting Times or Time Zones. Verify your time zone in HubSpot settings and confirm with your contact if you’re scheduling across different zones. Use the built-in time zone options in HubSpot’s Meetings link if you have an international audience.
  • Meeting Not Appearing in Contact’s Timeline. Check if the contact’s email address matches the one used to book the meeting. If there’s a mismatch, HubSpot won’t automatically associate the meeting.. Manually log the meeting if the automatic association doesn’t occur.
