Understanding HubSpot Engagement Types

Understanding HubSpot Engagement Types

Engagements (also called “activities”) are the heart of your CRM timeline. Every time you interact with a prospect or client—by phone, email, meeting, chat, or other method—HubSpot can record that interaction as an engagement. This ensures you have a full historical record of communications and tasks associated with each Contact, Company, Deal, or Ticket.

Why Engagements Matter for Consultants

  • They allow you to log key interactions and reference them later.
  • They power your ability to create follow-up tasks and stay organized.
  • They provide a centralized timeline of who said what, when—especially helpful if you work with a team or need to revisit client details.

1. Tasks

Definition: A Task is a to-do item or reminder you can assign to yourself or other users. You can set a due date and associate it with a Contact, Company, Deal, or Ticket.

Use Cases:

  • Follow-Up Reminders: After sending a proposal, create a Task to follow up in a week.

  • Recurring Administrative Tasks: For instance, scheduling regular check-ins with a long-term client.

  • Action Items from a Meeting: During or after a client call, log important next steps as Tasks.

Key Features:

  • Due Dates & Reminders: You can specify a date/time and get notified within HubSpot when the task is due.
  • Task Queues: Group similar tasks (like “cold outreach calls” or “proposal follow-ups”) into a queue so you can tackle them in a focused session.
  • Assigning Ownership: If you have a small team, you can assign tasks to other HubSpot users.
  • Integration with Gmail/Outlook (Optional): If you use the HubSpot Sales extension, tasks can appear in your email client, and you can be prompted to follow up from there.

Best Practices for Consultants:

  • Use tasks to stay on top of each stage in your outreach process (e.g., “Send second follow-up email on Friday”).
  • Create tasks immediately whenever an action item arises—don’t rely on memory.
  • Mark tasks complete as soon as you finish them to keep your task list accurate.

2. Notes

Definition: A Note is a simple text entry that you can log on the timeline of a record (Contact, Company, Deal, or Ticket). It’s used for capturing miscellaneous details, observations, or quick updates.

Use Cases:

  • Meeting Summaries: Jot down key discussion points or decisions made during a call.

  • Backstory or Context: Keep track of personal details or preferences you learn about a client.

  • Handoff Details: If another team member needs to pick up the relationship, notes provide context.

Key Features:

  • Rich Text: You can format text, add links, or insert images/files if needed.
  • Tagging Users: Mention a teammate (e.g., @username) in a note to alert them.
  • Associations: Attach a note to multiple records (e.g., a Contact and a Deal).

Best Practices for Consultants:

  • Write concise, relevant summaries—avoid clutter with overly long notes.
  • Use the mention feature (@username) to collaborate with colleagues or partners.
  • Tag your note with the date or meeting name if you want to quickly reference it later.

3. Calls

Definition: A Call engagement can be logged after the fact or initiated through HubSpot’s calling features (depending on your subscription and phone setup). Calls track who you spoke with, when you spoke, and any outcomes or notes from that conversation.

Use Cases:

  • Sales Calls: Cold outreach, discovery calls, or proposal follow-ups.

  • Project Calls: Regular check-ins with existing clients, or calls with external vendors.

  • Interview Calls: If you’re gathering intel or doing research calls with subject-matter experts.

Key Features:

  • Call Outcome: Mark the call as “Connected,” “Left Voicemail,” “No Answer,” etc.
  • Recording (Optional): In some HubSpot subscriptions, you can record calls (depending on local regulations).
  • Transcription (Optional): Higher-tier subscriptions can transcribe calls automatically, saving you time on note-taking.
  • Logging Manual Calls: You can always log a call engagement manually to store the notes even if the call wasn’t placed through HubSpot.

Best Practices for Consultants:

  • Log every call promptly to ensure you don’t forget key details.
  • Use clear Call Outcomes to keep track of success rates (e.g., calls that connected vs. left voicemails).
  • Summarize important next steps in the call notes, then create follow-up Tasks if required.

4. Meetings

Definition: A Meeting engagement is created when you schedule or log a meeting with a contact. It can be integrated with your Google or Outlook calendar, or you can manually add it.

Use Cases:

  • Proposal Meetings: Schedule time with a prospective client to walk through a proposal.

  • Project Kickoff: When a new consulting project starts, schedule and record a kickoff meeting in HubSpot.

  • Routine Check-Ins: Keep track of recurring one-on-one sessions with a key client contact.

Key Features:

  • Scheduling Pages (Professional & Enterprise): You can share a booking link so contacts can pick a time from your calendar, and that meeting automatically logs in HubSpot.
  • Calendar Integration: If connected to your personal or work calendar, it automatically syncs meeting details.
  • Meeting Notes: You can attach notes to the meeting engagement, describing the agenda or outcomes.

Best Practices for Consultants:

  • Encourage clients to use your HubSpot meeting link for quick scheduling—this reduces the back-and-forth of finding a mutual time.
  • Log the outcomes of a meeting under that engagement or create a Note if you need a more detailed narrative.
  • Use a consistent naming convention (e.g., “Client Name – Project Phase 1 Kickoff”) to quickly scan your meeting history.

5. Emails (Sales Emails, Logged Emails)

Definition: While not always presented in the same category as Tasks or Notes, Emails in HubSpot can appear as engagements if you have the HubSpot Sales extension or if you log them manually.

Use Cases:

  • One-to-One Sales Emails: Sent directly from HubSpot or from your email client with the HubSpot plugin.

  • Client Updates: Track key communications, like project status updates or meeting follow-ups.

  • Inbound Replies: If tracked, an inbound response from the contact can also appear on the record’s timeline.

Key Features:

  • Automatic Logging: With the HubSpot Sales extension installed in your email client (Gmail/Outlook), emails can automatically log in HubSpot.
  • Email Templates: You can create reusable templates for common messages (like “Proposal Follow-Up”).
  • Open & Click Tracking: If enabled, HubSpot can show if/when the recipient opened your email or clicked on a link.

Best Practices for Consultants:

  • Log critical client emails so you have a complete conversation record.
  • Use templates for repetitive outreach or follow-ups, but personalize them to maintain authenticity.
  • Be mindful of privacy: if you’re emailing someone you don’t want auto-logged, deselect “Log in CRM” for that specific email.

6. Conversations

Definition: Conversations in HubSpot is a shared inbox system that can capture live chats from your website, incoming emails to a team address (e.g., “[email protected]”), and form submissions.

Use Cases:

  • Website Chat: If a prospect or client starts a conversation via live chat on your consulting website.

  • Contact Form: If someone fills out a “Contact Us” or “Request a Call” form, that submission can become a conversation.

  • Shared Inbox: If you use a general consulting email, like “support@” or “hello@,” you can direct them into HubSpot so the entire team can see and respond.

Key Features:

  • Association: Each conversation can be associated with the correct Contact or Company (and even a Deal or Ticket if needed).

  • Automatic Ticket Creation (Service Hub users): If you want every inbound request to generate a Ticket automatically.

  • Chat Bots (optional): You can use chatbots to qualify leads or offer basic information before handing over to a human.

Best Practices for Consultants:

  • If you’re a solo or small team, a shared inbox can help you track all inbound queries without losing them in a personal inbox.

  • For form-based lead capture, make sure each submission is associated with a contact record for easy follow-up.

7. Other Notable Engagement Types

  1. SMS/Text (via Integrations):
    • HubSpot doesn’t natively log text messages, but you can use third-party integrations or manually log them as a note or call activity.
    • Useful if you do a lot of texting with clients.
  2. LinkedIn Messages (Manual Logging):
    • Like SMS, you can manually log the conversation details as a note or call.
    • If you rely heavily on LinkedIn outreach, this ensures your CRM timeline stays up to date.
  3. Tasks Created by Workflows:
    • Workflows (Automation) can create tasks automatically based on triggers—e.g., if a contact hits a specific lead score or after a form fill.
    • This is helpful when you have repetitive processes you’d like to automate.

Best Practices Across All Engagement Types

  1. Consistency is Key: Encourage yourself (and your team, if applicable) to log every significant interaction in HubSpot. Consistency leads to better data.
  2. Use Clear Titles and Summaries: Whether it’s a task, a note, or a meeting, give it a meaningful title (“Follow-up on Q2 Budget with Jane Smith”) so you can find it easily later.
  3. Associate with the Right Records: Always associate an engagement with the relevant Contact, Company, Deal, or Ticket. This builds a robust, centralized timeline.
  4. Use Tags and Mentions: When creating notes or tasks, @mention colleagues to bring them into the loop. Some teams like to use consistent keywords or short tags in notes for searchability (e.g., “#importantClient”).
  5. Don’t Overdo It: Log only what’s necessary. If you have too many trivial entries, it can become cluttered and harder to find important details.
  6. Review Regularly: Make it a habit to quickly scan a contact’s or deal’s timeline before your next call so you know the full history of interactions.
