Beyond properties for Contacts, Companies, or Deals, HubSpot includes various default settings that might not be perfectly aligned with your needs as an independent consultant. This chapter highlights some general HubSpot settings you may want to review or change from the default. These recommendations include privacy and user preference options that, if updated, can streamline your daily use of the platform.
1. Time Zone & Date/Number Formatting
- Check Default Time Zone
- HubSpot might default to a general time zone based on your browser location or account creation.
- If you travel frequently or prefer a particular standard (e.g., UTC), verify under Settings > Account Defaults > Language & Region.
- Date/Number Format
- You can specify how HubSpot displays dates (e.g., MM/DD/YYYY vs. DD/MM/YYYY) and numeric separators.
- This matters if you collaborate with someone from a different region or want consistent formatting in your dashboards.
2. Currency Settings
- Primary Currency
- In Settings > Account Defaults or Company Info, ensure your default currency is correct—especially if you bill in USD vs. EUR or others.
- This currency typically applies to deals and forecasting.
- Multi-Currency (Professional/Enterprise)
- If you occasionally invoice or track deals in different currencies, you can enable multi-currency (available on higher tiers).
- For a small practice, you might just keep your main currency, but check it anyway in case you do an international project.
3. GDPR & Privacy Tools
HubSpot provides features to help you comply with privacy regulations (like GDPR):
- Cookie Consent Banner
- If you use HubSpot’s forms or tracking code on your website, decide if you want HubSpot to show a cookie consent banner to visitors.
- You can customize the banner text, style, and how strict the cookie blocking is (necessary cookies vs. all cookies).
- Consent to Communicate
- Under Settings > Privacy & Consent, you can enable GDPR tools, requiring contacts to explicitly opt in before you email them marketing content.
- Even if you’re not in the EU, it can be a good practice to manage consent properly.
- Privacy Policy Notice
- If your site uses HubSpot forms, you can add a link to your privacy policy in the forms’ disclaimers.
4. Company Branding & Logos
If you plan to use HubSpot for marketing emails or landing pages in the future:
- Brand Kit
- Under Branding, you can upload a default logo, brand colors, or email footer info.
- This ensures any marketing assets (like email footers or system messages) reflect your consulting brand.
- Account Name
- Verify your account’s name in Settings > Account Defaults. Typically, it’s set to your business name.
- This might appear in certain email footers or internal notifications.
5. User Profile & Notifications
- User Profile
- Update your name, job title, and signature in your Profile & Preferences.
- Add a profile photo if you’d like.
- Notifications
- Decide what type of real-time notifications you want: e.g., being notified if a lead opens your marketing email or if a colleague mentions you in a note.
- For an independent consultant, consider disabling excessive notifications—like “deal assignment” if you’re the only user.
- Check both Email notifications and Desktop (in-app) notifications to ensure you get alerts only where they matter.
6. Users & Permissions (If Applicable)
If you’re a solo practitioner, you might not need advanced permissions. However, if you have a virtual assistant or collaborator:
- Add a New User
- Go to Settings > Users & Teams and invite them via email.
- Assign Permissions
- Decide if they can edit deals, contacts, or see all marketing emails.
- Minimally, you might give them the ability to view or edit deals while restricting access to billing or advanced automation if you prefer.
(Note: Many small consulting firms only have a single user. This setting is easily overlooked, but it’s crucial if you do plan to scale or have help.)
