How Automatic Email Logging Works in HubSpot

How Automatic Email Logging Works in HubSpot

One of HubSpot’s most useful CRM features is automatic email logging—the ability to record inbound and outbound emails directly in a contact’s timeline without requiring extra manual effort. Once you connect your business email to HubSpot, certain emails are logged automatically. This chapter explains exactly how that process works, which parts of an email get saved in the CRM, the treatment of attachments, and the differences you’ll encounter on HubSpot Free, Starter, and Professional plans.

1. What Is Automatic Email Logging?

Automatic email logging means that emails you send (and optionally receive) via your connected email account appear in HubSpot’s contact records, so you can view the entire conversation history in one place. This benefits independent consultants by:

  1. Saving Time: No need to copy and paste email messages into notes.
  2. Providing Context: You see past communications at a glance, aiding follow-ups or referencing prior discussions.
  3. Improving Collaboration (if you have a small team): Everyone with access can review communication threads without forwarding or searching through multiple inboxes.

2. Connecting Your Email

To enable automatic logging, you must have integrated your email account with HubSpot (Gmail/Outlook/IMAP). Once your account is connected:

  • By default, HubSpot can track emails you send to contacts in the CRM.
  • Depending on your settings, you may enable or disable logging for incoming emails.

2.1 Choosing Default Settings

  1. Log vs. Track:
    • Log saves the email content in the contact’s timeline.
    • Track notifies you if/when the recipient opens or clicks your message (available for Gmail/Outlook with the HubSpot extension or add-in).
  2. Exclusion Lists:
    • You can exclude certain domains (like your personal domain) to avoid logging internal emails or personal communications.

3. What Gets Logged and Where to See It

3.1 Email Content in the Timeline

  • Subject Line: Appears as the title of the logged communication.
  • Body Text: The main text content of your email is saved in HubSpot.
  • Recipients: Shows who was on the “To” and possibly “Cc” lines.
  • Date & Time: When the email was sent or received.

You can see these details under the “Activities” or “Emails” tab on the contact’s record timeline (and possibly the associated company or deal if you choose those associations).

3.2 Attachments

  • Default Behavior: Attachments aren’t always automatically uploaded. In many cases, HubSpot logs the fact that an attachment was present but does not necessarily store the file itself.
  • Email Provider Integration:
    • Some configurations let you optionally save attachments.
    • If your plan or email settings do not support it, you can manually upload relevant attachments to the contact or deal record if needed.
  • Plan Limitations: This can vary. On higher tiers, you might have options to store attachments in the CRM. On free or starter, you might need to do so manually.

3.3 Viewing Logged Emails

  1. Contact Record:
    • Go to Contacts > [Contact Name]. The email appears in the timeline.
  2. Company or Deal (If Associated):
    • If you associated that contact with a company or a deal, you may also see the email activity there, depending on your default association settings.
  3. Filters:
    • Filter by “Email” in the timeline to quickly locate past messages.

4. Inbound vs. Outbound Emails

  1. Outbound
    • Emails you send from your integrated email account to a contact recognized in HubSpot usually log automatically.
  2. Inbound
    • On Gmail or Outlook, you can enable inbound logging. If an inbound email’s sender address matches a contact in your HubSpot database, that email can appear in the timeline.
    • Some users opt not to log inbound to reduce clutter. Or they selectively log emails by adding the BCC address.

Note: Automatic logging inbound might require certain account permissions or explicit toggles in HubSpot email settings.

5. Plan Differences: Free, Starter, Professional

5.1 Free

  • Integration: You can connect your Gmail or Outlook account at no cost, enabling basic logging of outgoing emails.
  • Inbound Logging: Often you can set it up via the extension, but you might be limited in your logging preferences.
  • Attachments: Typically, the free plan does not automatically store attachments. You’ll see references to attachments, but you must upload them manually if you want them in HubSpot.
  • Email Volume: The free plan focuses more on 1-to-1 emails, lacking advanced marketing email sends or sequences.

5.2 Starter

  • Similar Logging Functionality: You can still connect your email and log messages, track opens, and have a little more control than free.
  • Attachments: Behavior likely the same: references are noted, but storage might require manual uploads.
  • More Control Over Logging: Possibly more robust inbound logging rules, but still not as advanced as Professional.
  • Sequences (Limited): You do get basic sequences, which rely on or benefit from automatic logging to track communications.

5.3 Professional (and Enterprise)

  • Full Logging Feature Set: More customization for inbound logging, better control over included attachments, advanced association settings, etc.
  • Advanced Sequences & Workflows: Automatic logging can tie into deals or custom workflows. Emails can trigger tasks, update properties, etc.
  • File Upload/Attachment: Potentially more file storage capacity or advanced settings for automatically saving attachments to contact records, though you’ll want to confirm based on your subscription details.
  • Deeper Reporting: You can create custom reports on email engagement or measure how many contacts respond at different stages.

6. BCC and Forwarding Addresses

  1. HubSpot BCC
    • If for some reason you don’t want to connect your inbox or you’re emailing from another address, you can manually add your HubSpot-provided BCC address to any outgoing email to log it.
    • This is a fallback or partial solution if automatic logging is turned off or not working.
  2. Forwarding Email
    • If you receive an inbound email from a contact, you can forward that message to your personal HubSpot forwarding address. This logs the conversation in the contact’s timeline.

7. Managing Privacy & Controls

  1. Exclude Domains or Email Addresses: Prevent personal or internal emails from logging by listing them in the “Never Log” list in HubSpot settings.
  2. Consent & Compliance: If you log external communications, be mindful of privacy. Check local regulations and best practices for data security.
  3. Manual Un-Log: If an email got logged but you’d prefer it not remain in HubSpot, you can delete that activity from the contact’s timeline.

8. Troubleshooting Common Issues

  1. Emails Not Appearing: Check if the contact’s email is recognized in HubSpot, if you used a different address. Confirm your domain isn’t excluded.
  2. Attachments Missing: By default, attachments are often not automatically stored. Upload them manually or review plan-based features.
  3. Duplicates in Timeline: If you BCC + have auto-logging, you might see two logs. Adjust settings or avoid duplication by using one method consistently.
  4. Password/Authorization: If your email integration breaks, reauthorize your account in HubSpot, especially if you changed your email password.
