A. Data Request to Company
To conduct an effective review of IT applications, request the following data from the company’s IT and business operations teams:
- Application Inventory: A list of all core applications, including ERP (Enterprise Resource Planning), CRM (Customer Relationship Management), and other critical software systems.
- Usage and Dependency Mapping: Documentation showing how different applications are used within business processes and any dependencies between applications.
- System Architecture Diagrams: Diagrams detailing the technical architecture for core applications, including database, middleware, and front-end layers.
- Performance Metrics and Usage Statistics: Data on application performance, uptime, response times, and user capacity for key systems.
- License and Version Information: Details on application licenses, vendor support agreements, and the current version in use for each core application.
- Roadmap and Scalability Plans: Any internal plans for scaling, updating, or replacing applications to meet future business needs.
B. Questions
To gain additional insights and context about the company’s IT applications, ask the following questions:
- Application Performance and Stability:
- Are there any recurring issues with application performance or downtime?
- How is application performance monitored, and what processes exist to troubleshoot and resolve issues?
- Scalability and Future-readiness:
- What plans are in place to scale applications as the business grows?
- Are there current limitations that could hinder the application’s ability to handle future demand?
- System Integrations and Data Flow:
- How seamlessly do the ERP, CRM, and other core systems integrate with each other?
- Are there manual data entry points that could be automated or streamlined?
- Software Versioning and Vendor Support:
- Are all critical applications on supported versions, and do they receive regular updates from the vendor?
- How frequently are software updates and patches applied to these systems?
- Business Alignment and Functionality:
- Do the applications fully support current business needs, or are there gaps in functionality?
- Are end-users satisfied with the current applications, and are there any common requests for enhancements?
- Licensing and Cost Management:
- Are there unused licenses or underutilized features that could be optimized to reduce costs?
- What is the process for managing and reviewing application licenses and usage?
C. Observations Leading to Immediate Action Required
The following are examples of the type of observation that would lead to a recommendation for immediate action:
- Outdated or Unsupported Applications:
- Core applications are running on versions that are no longer supported by the vendor, exposing the company to security and performance risks.
- Frequent Downtime or Performance Bottlenecks:
- Critical applications experience frequent downtime or suffer from performance issues that disrupt business operations.
- Lack of Scalability for High-Demand Applications:
- Core systems are unable to handle current or anticipated demand, creating operational bottlenecks.
- Incomplete or Failed Integrations Between Systems:
- Poor or missing integrations between ERP, CRM, or other systems, leading to data silos or duplicate data entry.
- Critical Functionality Gaps:
- Core business needs are not fully supported by current applications, forcing teams to rely on workarounds or manual processes.
D. Observations Leading to Near-Term Action Recommended
The following are examples of the type of observation that would lead to a recommendation for action in the near term (within the next year). These observations cover areas where there is not a high risk of immediate failure, but the current state may not scale up or support future business needs.
- Approaching Capacity Limits:
- Applications are nearing capacity limits in terms of user volume, data storage, or processing power, indicating the need for scaling in the near future.
- Non-Optimized Integrations:
- Integrations are functional but could be streamlined to reduce manual intervention and improve data flow.
- Minor Performance Issues or Stability Concerns:
- Applications generally perform well but occasionally experience minor lags or errors that could be optimized.
- Partial License or Feature Utilization:
- Licenses are underutilized, with certain features or modules not in use, suggesting an opportunity to optimize costs or improve functionality.
- Lack of Clear Application Roadmap:
- No formal plan for updating, scaling, or replacing applications as business needs evolve, which could lead to future inefficiencies.
E. Indications That Current State is Adequate for Company Needs
These signs indicate that the company’s application portfolio is well-aligned with its needs and does not require immediate improvement:
- Stable Performance and High Uptime:
- Applications are reliable, with consistent uptime and fast response times that meet business expectations.
- Effective Integrations and Seamless Data Flow:
- Core systems are well-integrated, and data flows smoothly across applications with minimal manual intervention.
- Scalability Plans in Place:
- The company has clear, proactive plans for scaling applications to meet future growth, with sufficient capacity available for current needs.
- Vendor Support and Timely Updates:
- All critical applications are running on supported versions, with regular updates from the vendor applied to maintain security and performance.
- Full Alignment with Business Needs:
- Applications provide all necessary functionality for business operations, and user satisfaction is high with minimal requests for additional features.
- Cost-effective License Management:
- Licensing is optimized, with licenses actively managed to prevent overuse or underuse, keeping costs aligned with application value.
