What You Will Learn
You will learn how to use Gemini to classify SKUs or purchase-order lines into practical categories and subcategories for spend analysis, SKU rationalization, or procurement review.
Required Dataset
Use the Atlas_Procurement_Dataset.
Use the tab:
Purchase_Orders
Create three new tabs:
Taxonomy_Practice
Taxonomy_Rules
Taxonomy_Check
Before You Start
Copy 20–50 rows from Purchase_Orders into Taxonomy_Practice. Include fields such as:
PO Number
Supplier Name
Item Description
Spend Category
Quantity
Unit Price
Extended Spend
Add these new columns:
Standard Category
Subcategory
Classification Confidence
Review Needed
Notes
Step-by-Step Instructions
Step 1. Create taxonomy rules
In Taxonomy_Rules, list allowed categories such as:
IT Hardware
Software
Office Supplies
Facilities
Logistics
Professional Services
Raw Materials
MRO
Other / Needs Review
Add subcategories only where useful. For example, Software may include SaaS, Licenses, Implementation, and Support.
Step 2. Ask Gemini to classify the rows
Open Gemini and enter:
Act as a procurement spend classification analyst.
Classify the purchase-order lines in Taxonomy_Practice.
Use Item Description, Supplier Name, and existing Spend Category.
Return:
- Standard Category
- Subcategory
- Classification Confidence: High, Medium, or Low
- Review Needed: Yes or No
- Notes
Rules:
– Use only the categories in Taxonomy_Rules.
– Do not invent new categories unless absolutely necessary.
– Use Other / Needs Review when the item is unclear.
– Mark low-confidence rows for review.
Paste Gemini’s output into the new columns.
Step 3. Use an AI function if available
If AI functions are supported, use:
=AI(“Classify this purchase-order line into one category from Taxonomy_Rules. Use supplier, item description, and spend category. Return only the category.”, B2:D2)
Use a separate prompt for subcategory and confidence.
Step 4. Add review logic
If Classification Confidence is in column J and Standard Category is in column H, use:
=IF(OR(J2=”Low”,H2=”Other / Needs Review”),”Yes”,”No”)
Expected Result
You should have a classified spend table with standardized categories, subcategories, confidence levels, review flags, and notes.
Check Your Work
Confirm that categories follow the rules, vague descriptions are flagged, and high-spend unclear rows are reviewed manually.
Optional Extension
Ask Gemini:
Summarize spend by Standard Category and identify categories with high spend, low confidence, or many review-needed rows.
