Time-to-fill is a key performance indicator that measures the average length of time it takes to fill an open position within the company. This KPI is critical in assessing the efficiency of the HR department’s recruiting and onboarding processes. A shorter time-to-fill is generally preferable, as it indicates that the HR department is effectively and swiftly filling vacancies.

Data Required to Calculate the KPI
To calculate the time-to-fill, you will need the following data:
- Date the job requisition was approved and opened.
- Date the job offer was accepted by the candidate.
Step-by-Step Instructions
- Determine the period for analysis: Decide the time frame for which you want to calculate the time-to-fill. This could be monthly, quarterly, or annually.
- Gather data on job openings: Obtain the dates when each job requisition was approved and opened during the chosen period.
- Gather data on job offers: Obtain the dates when the job offers were accepted by the candidates during the chosen period.
- Calculate the time-to-fill for each position:
- For each open position, calculate the number of days between the job requisition date and the job offer acceptance date.
- For example, if a job was posted on January 1st and the offer was accepted on January 31st, the time-to-fill for that position would be 30 days.
- Calculate the average time-to-fill:
- Add up the total number of days taken to fill all positions.
- Divide the total number of days by the number of positions filled to get the average time-to-fill.

The output of your analysis should be a single value representing the average number of days it takes to fill a position. This value can be presented as follows:
- Average Time-to-Fill: 30 days
